[Feature Update] New Ways of Looking at Activity Lists

One of the most frequently asked questions our helpdesk has dealt with over time refers to the Activities page, and runs something like this: “Why can’t I see deal, person or organization details when looking at an activity? And why can’t I apply custom filters to activity lists?”

This caused us to ask ourselves: “Well, why can’t they?” We feel that our latest feature release answers the question resoundingly.

Activity cross-item columns

This update is already live to all users, but in case you didn’t notice, here’s a quick rundown of what it entails.  Activity cross-Item columns allows you to pull deal, person and organization columns into your activities list. This enables you to set up activities so that the contact’s email and phone number is right there, along with the activity details.

Once you start using the Activity Cross-Item Columns feature, you’ll wonder how you ever managed without it.

Save huge amounts of time when working through call lists

We know that the person making the calls is not always the one who brought in the deals, and even if they are, they may be calling 50 people or more a day. Remembering or cross-checking contact details for every call is either impossible for the former or very time-consuming for the latter.

But now, when you look at the activity the person and organization columns tied to that activity are right there, where you need them.

This is another release that we expect will be very popular.

This update allows you to create custom filters in the activities list. You can take full advantage of your custom fields to narrow down your activities by status (eg. VIP customers only) or whatever special fields you have created.

For example, you can look at an activities list and filter out only activities tied to lost deals to see what doesn’t work or may need improvement. Conversely, you can also look at activities that drove deals to the next pipeline stage.

    Martin, this is a really smart move. Well done. Any plans to allows us to export the activities to an excel – or even better, straight to pdf? Many managers want a “report” that can be emailed / printed and not just a list on the screen.

      I can’t promise a specific ETA, but the ability to export into a spreadsheet from the Activities page is certainly in the plans.

      You could just use the print function on your browser and print to pdf, this will do what you need

        Many thanks Anthony. We tried that including changing the number of pages in the print range, but all browsers will only print the first page / the screen you can see. I think a browser print engine can only print what it can see.

          ah, didn’t think of that – we tend to only look at a day of activities at a time here, so that was the list I brought up when I double checked it before posting!

    Thank you for all updates. I have several customers using your products and all are very happy. The only thing missing is a better way to set goals. Do you know when you will have a better solutions?

      Yes, the goals system could use some improvements for sure. Hopefully we’ll be able to create a better way of setting goals in the future. Right now I can’t really promise anything though.

    Good update. But again, we can’t filter by cities. I got clients to call all over the country. If I want to book meeting in Montreal only. Why can’t I filter them by city ? We still can’t click to get them sort by city. So I have to do my cold-calling of a excel sheet and then import when there is a follow-up. Really need something there guys.

      If you’re using the Address type field it’s possible to filter by city. I’ve added a screenshot of this below.
      It’s possible to make the sub-fields visible in the lists, but it’s indeed not possible to sort by them just yet. We might add this in the future, but for now the filtering should accomplish the same goal.

        Thanks for your answer. It’s not bad, but it’s not like the activity page where I can see People information such as Contact person and phone number without having to click anywhere. My mistake was maybe to add the phone number in « People » instead of « Organization ». But it’s still not like the Activity page. That said, it might be easier to say than to do for you. I’m more than please with all the improvement Pipedrive is doing lately. I’m confident it’s going to be done some day.

          If you check the examples in the article again you’ll see that it’s possible to include any field from any connected item into the activity list now using the cog wheel top right next to the column headers.

          You can include the phone number from People, City from Organizations or any other field. It’s not possible to order the list based on these custom fields just yet, but if you create a filter it’s possible to filter the list down based on any of these fields. Simply start adding a new filter from the filter drop-down in the top of the activities list view.

    Hi, I am still looking forward for the activity page to be in form of ‘Calendar’, wherein I can mark no show, cancelled, attended, kind of statuses

      We understand how important is the Calendar feature and we will definitely have it sometime in the future. We cannot really say any ETA yet but we can definitely let you know once we have more details.

      Calendar would come with other optimisations and functionalities so your activities and events will be well organised.

    Would love to see a way to Total Columns on the Deals page by filtered results and by products. Possible?

      Hello Bernie,

      It is not possible at the moment. We are optimising the reporting tools and we might bring some solutions that perhaps will not address exactly what you mentioned, but will help you to have accurate filtered results.
